How we shaped the fix
One client intake form replaced the chain of PDFs. A submission triggers the ID check, runs the conflict search, drafts the engagement letter from the firm’s existing template using the form data, creates the matter in the practice management system, and sets up billing. The partner reviews and signs the letter. By the time they open it, everything else is done. The firm’s approval rules, conflict logic, and existing templates all stayed exactly as they were.
What changed
Onboarding time per matter dropped from two hours of partner attention to twenty minutes. Work now starts within 24 hours of an enquiry rather than a week later. The senior paralegal got back roughly 14 hours a week, which is now spent on actual matter work rather than form-filling. No new tools for fee-earners to learn.
What we did not change
The practice management system stayed. The conflict database stayed. The engagement letter templates the firm has refined over a decade are exactly as they were. The fee-earners did not learn anything new. What changed is the invisible coordination layer between the steps that already existed, which used to be a senior paralegal copy-pasting between five systems.
